An AI assistant for your admin panel that asks before it changes anything
Ask in plain language. Admin AI looks up clients, invoices, products, hardware, settings and the documentation, answers with what it found, and when the answer is a change — a new add-on, a corrected proforma, a plugin to install, a whole migration from your old panel — prepares it as a card. Nothing changes until you approve it, and then it runs with your own account.
Make PRO-2291 due on 15 November and add a note that the customer pays by bank transfer.
PRO-2291 is unpaid and not in a closed month, so it can be corrected. Approve the card to apply it.

Questions you would otherwise answer by clicking through five pages
“Unpaid invoices this month”, “which servers would this product match”, “which e-mail provider do we use”. It knows which page you have open, reads what it needs through tools, and replies in your panel’s language.
Describe the change. It fills in the form for you.
“Draft a 1 Gbps port upgrade add-on” becomes a card with the name, category and pricing filled in, checked against the add-ons you already have. Approve it, ask to attach it to your dedicated plans, and that is the next card. Up to eight changes can come out of one message, one per record.
It only prepares changes your role could make by hand. Plugin installs and switches are for super admins.
- CatalogueCreate or update a category, a product or an add-on, and assign add-ons to products.
- Hardware equivalencesSuggest CPU, RAM and disk equivalences from your inventory, or switch one on or off.
- Invoice correctionsChange the lines, due date or notes of an unpaid invoice or proforma, or cancel one.
- SettingsChange an everyday setting, such as company details, tax, ticket or appearance options. A sensitive one is refused with the page to change it on.
- PluginsInstall a free marketplace plugin, update an installed one, or switch a plugin on or off. Super admins only.
- MigrationsMap another platform’s database or your spreadsheet exports onto FluxBilling, preview the result and start the import. Super admins only.
Move in from any platform or spreadsheet
No importer for your old panel? Point Admin AI at its database, or at the spreadsheets you kept your customers in, and it works out how the data maps onto FluxBilling. You check the mapping and the preview, and approve the import — the same cards as every other change.
- Sources
- Any billing panel, CRM or home-grown system with a MySQL, MariaDB or PostgreSQL database, and any spreadsheet saved as CSV.
- What comes across
- Product categories, products, clients, services, invoices with their lines, and payments.
- What it never does
- Send e-mails, provision servers, charge cards or touch a closed month. Imported clients start inactive and switch on once they own an active service.
Super admins only. WHMCS, Blesta and EasyDCIM keep their own dedicated importers, and Excel files are saved as CSV first.
- 01Connect the sourceA MySQL, MariaDB or PostgreSQL database, directly or through an SSH tunnel, or up to ten CSV or JSON files. Passwords and keys are stored encrypted and never sent to the AI.
- 02It reads the structureTables, columns and a few sample rows, with passwords, card numbers and other secrets masked before the model sees them. The connection is read-only.
- 03You approve the mappingWhich tables become clients, products, services, invoices and payments, and which column fills which field, arrives as a card. Then a read-only preview shows the counts, warnings and anything that would block the import.
- 04You approve the importOne import job runs in the background and reports its progress on the card. Run it again and it skips what is already imported.
What happens between “prepared” and “done”
The assistant has no way to write anything itself. Applying a change is something your browser does, with your account, after you say yes.
- 01A card, not a changeEach prepared change arrives as a card listing every field it changes, from what to what. Nothing has happened yet.
- 02You confirmApprove opens a confirmation that says how many requests it will send with your account. Hard-to-undo changes, such as cancelling a document or installing a plugin, are marked in red.
- 03It checks the record againRight before running, the server checks that the record still looks the way it did when the card was made. If someone paid or edited it in between, the card is refused and you ask again.
- 04Your own buttons do the workThe change runs through the same admin API as the Save buttons, with your session, so every validation, permission check, document and e-mail applies. It stops at the first step that fails and shows what went through.
- 05It is loggedEvery applied or failed change is written to the audit log under your name.
- 06It expiresA card nobody approves expires after 30 minutes. A new chat removes unapproved cards without changing anything.
What it will not do
These limits live in the platform, not in the prompt: the tools it is offered, what they return and what they are allowed to prepare are decided before the model sees anything.
- Change anything without your approval. It looks things up and prepares; you apply.
- Show a secret. API keys, passwords and tokens are never read out, and a credential pasted into the chat is removed before the message reaches the AI provider.
- Touch money. No refunds, payments, mark-paid, account credit or credit notes from the chat.
- Edit a paid invoice, a document in a closed month, a document number or a status.
- Change sign-in, security, backup, mail or host settings, or anything that points data or mail somewhere else.
- Offer more than your role allows. A team member without billing access gets no billing tools, and nobody gets a change they could not approve.
A window beside your work, not a page you leave for
Admin AI opens from the header as a floating window you can drag, resize and minimise, so the page underneath keeps its full width. Ticket windows open beside it, and on a phone it opens as a full-screen sheet.
The conversation is kept in your browser tab for your account only. Turn it on under Settings › General › Feature Toggles and give a department the “Use Admin AI” permission.
The same key as your ticket drafts
Admin AI runs on Claude or ChatGPT with the API key you already set for the AI support assistant, on every tier, with no charge from FluxBilling. Your provider bills the usage to your key.
It needs tool calling, so it runs on the built-in Claude and ChatGPT connections, not on an AI-provider plugin.
Admin AI, answered
- What is Admin AI?
- A chat assistant in the FluxBilling admin panel. You ask in plain language, it looks up clients, invoices, products, hardware, settings, plugins and the documentation, and when the answer is a change it prepares that change for you to approve.
- Is it a chatbot for my customers?
- No. Admin AI is for your staff in the admin panel. Customers never talk to it, and it never sends them anything on its own. For tickets, the AI support assistant drafts replies that a person sends.
- Can it change things without asking?
- No. It cannot write anything itself. A prepared change does nothing until you approve the card, and then it runs through the admin API with your own account, exactly as if you had made the change by hand.
- Which AI models does it use?
- Claude from Anthropic or ChatGPT from OpenAI, on your own API key set in Settings › AI. Admin AI needs tool calling, so a provider connected as an AI-provider plugin can draft tickets and blog posts but cannot run Admin AI.
- What does it cost?
- FluxBilling does not charge for it, and it is on every tier. Usage is billed by the AI provider to the key you supply.
- Can it migrate data from another platform?
- Yes. AI Migration, for super admins, reads any platform whose data sits in a MySQL, MariaDB or PostgreSQL database, or spreadsheets exported as CSV or JSON. It proposes how the tables map onto clients, products, services, invoices and payments, shows a read-only preview, and imports only after you approve. WHMCS, Blesta and EasyDCIM also have dedicated importers.
- How do I turn it on?
- Switch on Admin AI under Settings › General › Feature Toggles (the AI toggle has to be on too), and give the departments that should use it the “Use Admin AI” permission. Super admins always have it.
