Manage the order pipeline: filter by status and payment, search, sort, and confirm, cancel, or delete orders one at a time or in bulk.

What the Orders page is for

The Orders page is your staff-facing sales pipeline. Every order — whether it comes in from the public storefront checkout or is placed for a customer through the staff-side New Order form — lands here as a row. The table is the operational counterpart to the customer's checkout: it tracks each order's fulfilment status, its payment state, the client it belongs to, and the date it was placed, so your team can confirm, cancel, or review orders from one screen.

How to reach it

Open the admin panel and click Orders (the shopping-cart icon) in the left sidebar. The page header reads Orders — Recent orders and transactions. When you first open it, the table is pre-filtered to Pending orders, since those are the ones that usually need staff attention. Use the status tabs (described below) to switch to another view or to show everything.

Reading the KPI tiles

Across the top sit four summary tiles. Three of them double as one-click filters for the table beneath them.

The active filter tile is highlighted with a ring, so you can always tell which view you are looking at.

Finding orders: search and filters

Below the tiles is a filter bar:

  • Search box — type into Search orders… to match by order number, the linked client's name or email, or the order's items. Results update as you type.
  • Status filter — a row of tabs labelled All, Pending, Completed, Cancelled, Fraud. Pick one to narrow the table to that lifecycle stage.
  • Payment filter — a second row of tabs labelled All, Pending, Processing, Completed, Refunded. This filters by the money state, independent of the order status.

On a phone the two filter rows collapse into dropdown menus (All Statuses / All Payments) to save space, but the choices are identical.

The order table

Each row represents one order. Click anywhere on a row to open its Order Details, where you can edit, mark completed, cancel, and see the linked invoice, items, and service.

Order IDThe order number, shown as a badge. An Upgrade badge appears next to it when the order is an upgrade of an existing service rather than a brand-new purchase.
ClientThe customer's avatar initials, name, and email. The name links straight to that client's record.
TotalThe order amount with the correct currency symbol. Hourly (usage-billed) orders show Credit-based here instead of a fixed price, because they draw down account credit rather than charging a set total.
StatusA colour-coded badge: Pending, Completed, Cancelled, or Fraud.
PaymentA colour-coded badge for the money state: Pending, Processing, Completed, or Refunded.
DateWhen the order was created.

Click any column header to sort by that field; click again to reverse the direction. The table is paginated, and you can change how many rows appear per page from the pagination controls at the bottom. When nothing matches your filters, the table shows a No orders found empty state with a cart icon.

Creating an order

Click the Create Order button in the top-right of the page. This opens the New Order form, where you pick a customer, add one or more products, set billing options, and place the order on the client's behalf.

Confirming, cancelling, and deleting orders

One order at a time

  1. To open and act on a single order, click its row to go to Order Details, where Mark as Completed and Cancel Order live.
  2. To remove a single order from the list, click the trash icon at the right end of its row. A confirmation dialog appears.
  3. The delete dialog includes a checkbox: Also delete and terminate the services allocated to this order. Leave it unticked to remove only the order record; tick it to also tear down the services that order provisioned. Deletion is permanent and cannot be undone.

Several orders at once (bulk actions)

Each row has a checkbox on the left, and the header checkbox selects every row on the page. As soon as one or more rows are selected, a blue bulk action bar appears showing how many orders are selected, with three buttons:

  • Confirm Selected — marks the chosen orders as completed.
  • Cancel Selected — cancels the chosen orders.
  • Delete Selected — permanently deletes the chosen orders. Like the single-row delete, the confirmation offers the option to also delete and terminate their services.

Each bulk action asks you to confirm and reports how many orders (and, for deletions, how many services) were affected.

Understanding status vs. payment

The two badges on every row track two different things, and they move independently:

Status (the order lifecycle)
Pending → Completed is the normal path. Cancelled stops the order. Fraud is a hard freeze — an order flagged Fraud should be reviewed by a human before anything is provisioned.
Payment (the money lifecycle)
Pending → Processing → Completed as funds clear, or Refunded if the money is later returned.

Because the two are separate, an order can read Completed for status while showing Refunded for payment — for example, the service was delivered and then the charge was reversed. Use the two filters together (status + payment) to find exactly these mismatches when reconciling.
